1. Who we are and what this policy covers

Mach One Reports is home inspection reporting software made by Three Blue Stars Inc, doing business as Mach One Reports ("Mach One Reports", "we", "us"). This Privacy Policy explains what information we collect when you visit machonereports.com, use the portal at portal.machonereports.com, or work with us, how we use it, who we share it with, and the choices you have.

This policy is part of our Terms of Service at machonereports.com/terms. If you have a question about anything here, email info@machonereports.com.

2. Information we collect

Account information. When you sign up or book an onboarding call, we collect your name, email address, phone number, and company name.

Inspection content. When you use the Service, we store what you put into it: inspection data, photos, voice recordings and their transcripts, the reports you build, your templates, and your client and agent contacts.

Your comment library. If you upload a comment library from another product, we store the file and the comments inside it so we can import them into your account.

Horizon proof. If you choose the Horizon Rescue plan, we collect the bill, screenshot, or link you send us to show you had a Horizon account.

Payment information. Stripe collects and stores your card details. We never see or store your full card number. We keep your plan, billing dates, and payment history.

Support and onboarding. We keep the messages you send us and the notes from your onboarding call.

Technical information. Like most services, our systems record your IP address, browser and device type, the pages you open, and error logs, so the Service works and we can fix problems.

3. How we use your information

To run the Service for you: store your content, transcribe your voice recordings, match them to your own comment library, build your reports, and deliver them to the people you choose.

To bill you and manage your subscription through Stripe.

To set up your account and run your white glove onboarding, including importing your comment library and scheduling your call.

To answer your questions and support you.

To email you about your account: trial reminders, billing notices, changes to the Service, and, if you choose, product news. You can unsubscribe from product news at any time; account notices still go out because you need them.

To improve the Service. This includes improving the matching and transcription that run inside Mach One Reports. Your content is never given to public AI models, and it is never used to train anything outside Mach One Reports.

To keep the Service secure, prevent fraud and abuse, and meet our legal obligations.

4. Who we share your information with

We do not sell your personal information, and we do not use your clients as leads. We share information only with the companies that help us run the Service, and only what they need to do their job:

Supabase hosts our database, authentication, and private file storage.

Stripe processes payments and holds your card details.

Resend sends our account emails today, and Loops will send them as we move over.

Google Calendar and Zoom schedule and hold your onboarding call.

Sentry reports errors so we can fix them.

ClickUp is where our team tracks setup and support tasks internally.

Substack sends our newsletter if you subscribe to it on our site.

We also share your reports with the people you send them to, and we may share information if the law requires it, to protect someone's safety, or with an affiliated or successor company that takes over the Service (we will tell you if that happens).

5. Voice recordings and transcription

When you record a comment, the audio is transcribed by our own private transcription software, the text comes back, and Mach One Reports matches that text to your own comment library. Your audio is not sent to any outside transcription company, and it is never used to train public AI models.

Your recordings and transcripts stay attached to the inspection in your account so you can review them. You can delete them like any other content.

6. Where your information lives and how we protect it

Your data is stored with Supabase in private storage that is not reachable from the public internet. Uploaded files, including comment libraries and Horizon proof, go into private storage buckets.

Every account is walled off from every other account. Only the people you add to your account can see your data. Information travels between you and us over encrypted connections, and only team members who need access to help you have it.

No system is perfectly secure, so we cannot promise that no one will ever get in. If we learn of a breach that affects your information, we will tell you as the law requires.

7. How long we keep your information

While your account is open, we keep your content so you can use it.

Comment library upload files are kept until your import is finished and checked, then deleted within 90 days. The imported comments themselves stay in your library.

Horizon proof is kept until we have verified it, then deleted within 90 days.

When your account closes, you can request an export for 30 days. After that we delete your content within 90 days, except for copies in backups that roll off on their own schedule and records we must keep for tax, accounting, or legal reasons (up to 7 years for billing records).

8. Your choices

Export your data at any time from inside the Service.

Delete content, including recordings, photos, and reports, from inside the Service.

Update your account information in your account settings.

Close your account from the billing portal inside your account.

Unsubscribe from product news using the link in any of those emails.

9. Your California privacy rights

If you live in California, the California Consumer Privacy Act and the California Privacy Rights Act give you these rights over your personal information:

The right to know what personal information we have collected about you, where it came from, why we collected it, and who we shared it with.

The right to access a copy of it.

The right to correct it if it is wrong.

The right to delete it, with the exceptions the law allows (for example, records we must keep for billing).

The right to opt out of the sale or sharing of your personal information. We do not sell personal information and have not done so in the past 12 months, and we do not share it for targeted advertising.

The right not to be treated differently for using any of these rights.

To use any of these rights, email info@machonereports.com from the email address on your account. We will confirm it is you, respond within 45 days, and tell you if we need more time. You can also have someone you authorize make the request for you; we will ask for proof that you gave them permission.

10. Children

Mach One Reports is a business tool for inspectors. It is not for anyone under 18, and we do not knowingly collect information from children.

11. Changes to this policy and contact

We may update this policy as the Service changes. When we do, we will post the new version at machonereports.com/privacy with a new date, and if the change is important we will email you.
